This Privacy Policy outlines how ERP Champions Limited ("we", "us", or "our") collects, uses, maintains, and discloses information from clients and users (each, a "User") across our services, including ERPNext implementation services and our Uganda Compliance App ("the App"). This policy applies whether our services are hosted on Frappe Cloud or other hosting environments.

The Uganda Compliance App for ERPNext

Client Business Data
Information necessary to provide implementation, customization, and support services, including business processes, organizational structures, and operational requirements.
Personal Information
We collect personal identification information from Users when they engage our services, configure applications, register for support, or request technical assistance. This may include names, contact details, and user credentials required for service delivery.
Technical Information
We collect non-personal identification information such as browser type, device information, and connection details when Users interact with our systems for troubleshooting and improvement purposes.
EFRIS Integration Data
For users of our Uganda Compliance App, business transaction data including invoices, credit notes, inventory, and tax information is processed and transmitted to Uganda Revenue Authority's EFRIS system as required by Ugandan law.
ERP Champions Limited uses the collected information for the following purposes:
To deliver requested implementation, customization, and support services.
To facilitate proper functioning of the EFRIS integration within the Uganda Compliance App
To provide technical support and troubleshooting
To improve our services and application functionality
To ensure compliance with relevant regulations, including Ugandan tax requirements
To communicate important updates or changes to our services and applications
To process payments and maintain business relationships
We implement appropriate technical and organizational measures to protect your data:
Access controls and security protocols for client systems
Secure development practices for our applications
Staff training on data protection requirements
Regular security assessments
While our Uganda Compliance App facilitates transmission of business data to the Uganda Revenue Authority as legally required, we do not access or process this data beyond what is necessary for functionality.
Our services may integrate with third-party systems:
The Uganda Compliance App integrates with the URA's EFRIS system. Data transmitted to EFRIS is subject to URA's privacy practices and Ugandan law.
Our implementations may connect with other third-party services as requested by clients.
Our services operate within your ERPNext environment, subject to your existing data policies.
We do not sell, trade, or rent personal information to third parties. Information sharing occurs only:
As explicitly directed by clients for implementation purposes
As part of the Uganda Compliance App's core functionality to transmit required business information to official regulatory systems
With service providers who assist in our operations, bound by confidentiality obligations
If required by law or to protect our rights
We retain client and user data for as long as needed to provide services and fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law or regulations.
ERP Champions Limited may update this privacy policy periodically. When we do, we will notify users through appropriate channels. Your continued use of our services after changes to this policy constitutes acceptance of those changes.
By using ERP Champions' services including the Uganda Compliance App, you consent to this privacy policy. If you do not agree with this policy, please discontinue use of our services.
